Why do we process your data?
Contact Form
- Data Categories – We collect your email address.
- FLEXINA does not collect any special category of data (within the meaning of Article 9 of the GDPR), nor data relating to criminal convictions and offenses (within the meaning of Article 10 GDPR), nor national register numbers, protected by the Belgian law of August 8, 1983.
- Purpose of processing – In the contact form available on our website, we ask you to provide your email address in order to respond to your contact request, communicate with you about it and answer your questions.
- This data is therefore essential in order to establish the contact you requested by filling out and sending this form.
- Legal basis – When you fill out the form, contact is made at your request. You consent to the use of your email address to allow FLEXINA to contact you.
- Data recipients – Personal data may be transmitted to Flexina's IT subcontractors who offer adequate data security guarantees.
- Retention period - The data you entrust to us is kept for a maximum of 6 months after the end of contact between you and FLEXINA or until you ask us to stop.
Access to "Demo" Account
- Data Categories – We collect your first name, last name, email address, phone number and company name to allow you to test our software via a "demo" account and evaluate it (via the evaluation form).
- FLEXINA does not collect any special category of data (within the meaning of Article 9 of the GDPR), nor data relating to criminal convictions and offenses (within the meaning of Article 10 GDPR), nor national register numbers, protected by the Belgian law of August 8, 1983.
- Purpose of processing – We collect your data to allow you to test our software via a "demo" account, to send you the credentials to connect to the "demo" account and to notify you of the expiration of this account.
- In the software evaluation request form, we ask you to answer questions to evaluate the software. On this basis, we are then able to produce statistics to improve the website, the services offered (including the software) and our internal organization.
- Legal basis – The data you provide us is processed to give you temporary access to our software via a "demo" account. All of this data is essential for the performance of our contract.
- Data recipients – This data is not communicated to any third party and our employees are bound by a confidentiality obligation.
- Retention period - The data you entrust to us is kept for a maximum of 15 days after FLEXINA deletes your "demo" account.
Management of our contractual relationship
- Data Categories – Your contact and financial data are also processed.
- FLEXINA does not collect any special category of data (within the meaning of Article 9 of the GDPR), nor data relating to criminal convictions and offenses (within the meaning of Article 10 GDPR), nor national register numbers, protected by the Belgian law of August 8, 1983.
- Purpose of processing – This data is used to invoice our services and their recovery, or to notify of a modification of the Contract or Data Protection Policy (including new purposes). This data is therefore essential for the performance of our contract. Without it, we cannot carry out our mission properly. For more details in this regard, we refer you to the service provision agreement.
- Legal basis – The data you provide us is processed to perform the contract that binds us.
- Data recipients – They are transmitted to tax and social administrations, our social secretariat and our accountant. They could be transmitted to our counsel or a bailiff in case of judicial recovery.
- Retention period - We are obliged to keep this billing data until the expiry of our tax and accounting obligations, i.e. for 7 complete fiscal years.
Management of traces and incidents within our software
- Data Categories – We may also process your login data, logout data, data relating to operations performed within our software and data relating to intrusion attempts within our software.
- Purpose of processing – This data is used to identify fraudulent access or misuse of personal data, or to determine the origin of an incident occurring within our software.
- Legal basis – This data is processed to perform the contract that binds us.
- Data recipients – This data may possibly be transmitted to judicial authorities.
- Retention period – In principle, we keep this data for a period of three months.
Location of your data
Within the European Union – Your data is in principle exclusively stored on servers located within the EU.
In case of transfer outside the European Union – For the internal management of our company, we may use subcontractors located outside the European Union. In these cases, we naturally ensure that recipients are obliged to comply with the same data protection standards as in the EU through appropriate contractual clauses. You can obtain a copy of these guarantees upon simple request.
What are your rights?
- Information – This right is exercised through this document. If the processed data includes data from your staff, you undertake to make them aware of this document.
- Access and rectification – You have the right to access your data and have it corrected if necessary.
- Opposition – You can object to the processing of your data that we do on the basis of our legitimate interest.
- Withdraw your consent – When data is processed by virtue of your consent, you can change your mind at any time, without calling into question past processing.
- Erasure – You can obtain the erasure of your data or the limitation of processing under the conditions provided for in Articles 17 and 18 of the General Data Protection Regulation.
- Portability – The data you have provided to us can be communicated to you or transmitted to a colleague in electronic format.
